Why Use Form 8879-EMP?

The IRS strongly encourages e-filing employment tax returns through the Modernized e-File (MeF) system. Form 8879-EMP authorizes the Electronic Return Originator (ERO) to:

  • Enter or generate your 5-digit self-selected PIN as your signature
  • Transmit the return electronically
  • Authorize electronic funds withdrawal (if you owe taxes)

Do NOT send Form 8879-EMP to the IRS. The ERO keeps it for 4 years (or longer if requested).

Step-by-Step: How to Complete Form 8879-EMP

Part I – Type of Return and Return Information (ERO completes this)

  1. Enter taxpayer name and EIN exactly as on the return.
  2. Check one box for the form type.
  3. Enter exact amounts in whole dollars from the corresponding lines:
    • Form 941 example: Line 2b = Wages/tips (Form 941 line 2), Line 2c = Balance due.
    • Leave blank if the return line is blank (never enter -0- unless shown on return).

Part II – Taxpayer Declaration & Signature (You complete this)

  1. Read the perjury statement.
  2. Choose PIN option:
    • Authorize ERO to enter your PIN, OR
    • You enter your own 5-digit PIN (not all zeros).
  3. Sign, date, print name and title.

Part III – ERO Certification (ERO completes)

  • Enter 11-digit Practitioner PIN (6-digit EFIN + 5-digit self-selected).
  • Sign and date.

The return cannot be transmitted until the signed 8879-EMP is received by the ERO.
